About this tool

Time zone planner, explained

Add the cities your team works from and see, hour by hour, when everyone is inside working hours at the same time. The planner finds the best meeting slot to the quarter hour, shows it in each city's local time, and lets you copy the times or add the meeting to your calendar.

How to use it

  1. 1Type a city, a country or a time zone in Add a city or time zone, or start from a preset such as Remote team or Across the Atlantic. You can add up to 10 cities.
  2. 2Pick the Date, and change Work starts and Work ends if your team keeps other hours. Switch between the 24h and 12h clock as you prefer.
  3. 3Read Best time to meet, given in the time of the home city, the first one in the list. Click the ↑ button next to another city to make it home.
  4. 4Click any hour on the timeline to choose a slot, move it with −15 and +15, set the Length, then use Copy times, Add to calendar (.ics) or Copy link.

How it works

How the overlap is found

The planner works on the date you pick. For each city it asks your browser's built-in time zone database for the local time on that day, so daylight saving time is applied as it is on that date. Any IANA time zone can be added, and offsets such as Bangalore at UTC+5:30 are handled to the minute.

The day is split into 96 slots of 15 minutes, from midnight to midnight in the home city. A slot counts for a city when it falls entirely inside that city's working hours, 9:00 to 18:00 by default, adjustable in half-hour steps. The longest run of slots where every city is at work becomes the best time to meet, and up to two other windows are listed under it. A window that runs past midnight is kept in one piece.

When no slot has everyone at work, the planner shows the longest window with the most cities at work and says how many that is, so you can see who would join early or late. With the Remote team preset (San Francisco, New York, London and Bangalore) on a January or July date, the best it finds is 9:00 to 10:00 in San Francisco, with three of the four cities at work.

Everything runs in your browser, and Copy link gives a link that reopens the same cities, date, hours and slot.

When to use it

Ways people use it

  • Set a recurring team meeting

Find the slot that lands inside working hours for everyone, then book the weekly call there instead of always asking the same city to stay late.

  • Hire in a new time zone

Before opening a role in a new city, add it to the list and see how many hours it would share with the rest of the team.

  • Plan a client call

Add your city and the client's, choose the slot, and send the times in both cities with Copy times or as a calendar file.

  • Check after a clock change

Countries change their clocks on different dates, so the overlap can move by an hour for a few weeks in spring and autumn. Set the date to a day after the change to see the new window.

FAQ

Questions people ask

How do I find a meeting time across time zones?

List the cities involved, convert a working day in each one to a common reference such as UTC, and keep the times where all of them overlap. This planner does that in 15-minute steps for up to 10 cities and highlights the hours when everyone is inside their working hours.

What is the best time for a meeting between New York and London?

Most of the year, London is five hours ahead of New York, so the shared working window runs from 9:00 to 13:00 in New York, which is 14:00 to 18:00 in London. During the weeks when only one of the two has changed its clocks, the gap is four hours and the window grows to 9:00 to 14:00 in New York.

Does the planner account for daylight saving time?

Yes. It computes the local time of each city for the date you pick, using the time zone database built into your browser, so daylight saving time is applied exactly as it is on that day.

What if there is no hour when everyone is at work?

The planner then shows the window when the most cities are at work. Common options are to rotate the meeting time so the early or late slot is shared fairly, to split into two regional meetings, or to move the discussion to writing.

Can I send the meeting to my calendar?

Yes. Add to calendar (.ics) downloads an event file with the chosen start and length, which Google Calendar, Outlook and Apple Calendar can import. Its description lists the local time in each city. Copy times gives the same list as text to paste in a message.
